Find what's behind a QuickBooks reconciliation difference

The usual causes, in order of likelihood

  1. Unchecked transactions. A cleared transaction sitting unticked on the reconcile screen. The single-amount match above finds these fast.
  2. Bank feed duplicates. A feed disconnect plus a manual import often books the same transaction twice. Sort the register by amount to spot pairs.
  3. Edited or deleted reconciled transactions. This shifts the beginning balance. In QuickBooks, run the Reconciliation Discrepancy report (Reports, then search "reconciliation discrepancy") to see what changed.
  4. Wrong-sign entries. A deposit recorded as a payment moves the difference by exactly double the amount.
  5. Transactions dated outside the statement period. Check a few days either side of the statement dates.
  6. Typos and transpositions. A difference divisible by 9 is the classic tell.

Common questions

Why doesn't my QuickBooks reconciliation match the bank statement?

The six usual causes, in order of likelihood: an unchecked cleared transaction, a bank feed duplicate, an edited or deleted previously-reconciled transaction, a deposit or payment entered with the wrong sign, a transaction dated outside the statement period, or a typo. This tool checks your uncleared amounts against the difference to narrow it to a specific transaction or combination.

What does 'beginning balance doesn't match' mean in QuickBooks Online?

A transaction that was already reconciled has since been edited, deleted, or unreconciled, so the starting point moved. Run QuickBooks' built-in Reconciliation Discrepancy report to see exactly which transactions changed, then restore or re-mark them.

Why is a difference divisible by 9 a sign of a transposition?

Swapping two adjacent digits in a number always changes it by a multiple of 9. If your difference divides evenly by 9, compare entered amounts digit by digit against the statement before hunting for missing transactions.
