Month-end close checklist for bookkeeping firms
Seven steps, in order. This is the same shape most experienced bookkeepers already follow. The goal here is to make it repeatable across every client, every month.
- 1Pull the bank and card feeds current
Confirm every connected QuickBooks Online feed is up to date through the last day of the month. A stale feed is the most common reason a close drags into next month.
- 2Clear the categorization queue
Work through uncategorized and low-confidence transactions first. They're the ones most likely to hide a miscategorized expense or a missing revenue item.
- 3Chase open items in one batch
Send any outstanding receipt or context requests to the client as a single batch rather than one-off emails. Batching cuts both your back-and-forth and the client's annoyance.
- 4Run the automated checks
Scan for duplicate-looking transactions, unusually large or unusual-vendor charges, and owner expenses that look personal rather than business.
- 5Reconcile each account
Match the ending balance on every bank and card account to the statement. Investigate any variance before moving on. Don't carry a mystery difference into next month.
- 6Review and sign off
Do a final pass over the P&L and balance sheet for anything that doesn't look right at a glance, then sign off. This is the step that catches what automated checks miss.
- 7Send the client their report
A short summary, what changed, what you need from them, what's outstanding, closes the loop and sets up next month.
